The Patient Resources Coordinator supports the Patient Services department and facilitates the infusion admission process. Individuals in this role will collaborate with and support all Vivo Infusion departments by assisting callers as the first line of our escalation matrix. In addition, Patient Resources Coordinator supports continuity of care for existing patients by scheduling follow up appointments. Each individual specialist is responsible for reviewing, organizing, prioritizing, and escalating all calls and tasks in a timely manner.


The Patient Resource Specialist will work remotely from a home office with a secure network. Travel with Vivo equipment is not permitted. Only candidates residing in the states below at the time of employment will be considered.

Reports to: Patient Resource Coordinator Manager

Location: Remote Home Office



Primary duties and responsibilities:

  • Answer high volume of incoming calls
  • Ensure effective communication from the home office to promote a positive image with all patients, physicians, clinical staff, office personnel, visitors, and external agencies
  • Assist all callers with immediate responses and resolutions
  • Triage calls based on need and priority to appropriate department
  • Research and review charts to ensure accurate information is provided
  • Maintain log notes to ensure continuity of care and communication
  • Data entry and accuracy audits
  • Document referral progress updates in the referral tracking program
  • Review daily and weekly schedules for scheduling
  • Store and locate patient records in appropriate file structures
  • Maintain working knowledge of all insurance contracts
  • Maintain working knowledge of formulary
  • Maintain familiarity with drug copay assistance program requirements to determine whether a patient meets base eligibility conditions
  • Follow and uphold HIPAA guidelines
  • Learn and maintain working knowledge of the referral tracking system and EMR
  • Utilize Adobe Standard tools to compile, sort, and orient PDF documents
  • Manipulate Excel spreadsheets to sort, condense, and prioritize data
  • Demonstrate exceptional written and verbal communication skills when interacting with insurances, referring office staff, patients, and internal & clinical staff
  • Communicate and maintain contact with the Patient Navigator, Medical Records Review, and Patient Resources teams regarding patient accounts, referral documentation, insurance and coordination of benefits concerns, patient financial documents, prior approvals, referrals, etc.
  • Utilize appropriate templates, naming conventions, formats, and email distribution lists for system notations and email & task communication

Secondary duties and responsibilities:

  • Assist in various projects as assigned.
  • Input information and data updates into appropriate tracking systems and spreadsheets.
  • Maintain patient records and confidentiality via the electronic medical record system per HIPAA guidelines
  • Attend all required meetings related to the organizational, departmental, team, and individual performance.
  • Performs other duties as assigned.

Qualifications:

  • Minimum 1-2 years of related prior work experience required, preferably in the healthcare industry.
  • Proven competencies can take precedence over prior work experience.
  • High School graduate or equivalent; associates or bachelor's degree preferred.
  • Proficient (intermediate level of application) with all Microsoft Office Products programs to include Outlook, Excel, Word, and Teams.
  • Knowledge of Medicare and commercial insurance benefits, medical authorizations, and billing; HIPAA and medical abbreviations & terminology preferred.
  • Must possess outstanding communication and interpersonal skills, be able to communicate effectively and professionally with other staff members, patients, vendors, & physicians, and is fluent in written & spoken English.
  • Experience supporting multiple managers & supervisors.
  • Prior experience working with sensitive information and maintaining confidentiality.
  • Travel is minimal in this role, but can be up to 10%.
  • Overtime and weekend hours are moderate in this role and may be mandatory as requested during peak seasons and to meet business needs.
